Guidelines

  • AGE

  •  The participant is 18 years old or more. If he/she's younger then he/she must be under the direct responsibility of another adult participating to the same program at the same time

  • PHYSICAL CONDITION

  • For the physical activities included in the program, namely hiking for more than one kilometer on an uneven trail, carrying backpacks with a load capacity above 8 kg, pulling an Arctic sled, snowshoeing, skiing, packrafting, wilderness camping, and any other program including one of these sports, the participant makes sure that he/she does not have any medical objection (s) to the practice of these. If he/she has any doubts, he/she goes to a doctor for advice and or a routine check-up before departure.

  • For any activity related to water, namely sauna and packrafting, he/she certifies that he/she have the skills to swim 50 m without the need to find foothold or hold the edge of the water place. For under 18 years individuals even if they’re accompanied, a certificate containing the requirements specified above, signed by a lifeguard, must be provided before the start of the activity. If this certificate is not presented, the minor will not be authorized to practice the activity.

  • MEDICAL REQUISITES

  • The participant certifies that he/she is medically covered. If he/she is an European national, he/she has his/her European health insurance card. In the event of a medical intervention, including pharmacy, and if payment of fees is necessary, he/she will pay them. Under no circumstances does Lappitrek cover these possible costs or even make advance payments.

  • In the context of the Coronavirus, he/she certifies that he/she is aware of all the requirements set up by the transport companies and the host country/countries mentioned in the program of activities above. He/she is solely responsible to find the information. The cancellation of a stay, which would be caused by an impossibility of travel or entry into the territory of the host country (ies) mentioned in the program of activities above, due to non-compliance to health requirements, would basically not give him/her the right to any reimbursement, even if the agency would do its best to reimburse a part.

  • PHYSICAL CONDITION AND ENVIRONMENT

  • The participant is fully aware of the following information and rules relating to his/her personal health and the physical efforts required by the activities of the program:

  • 1- In winter:

  • - polar temperatures which vary from approximately -10 ° C to -35 ° C depending on the month, January and February being the coldest months

  • - a risk of rapid hypothermia if the clothing is not suitable, in the event of prolonged inactivity, and in the event of an accident

  • - the very large amount of snow which requires more physical effort and time during snowshoeing or skiing than during hiking

  • - the less luminous weather from November to March than in the rest of Europe; the absence of sunrise and sunset from mid-November to mid-January.

  • - the late watch that sometimes the observation of the Northern Lights leads to

  • - the freezing temperature of water during Finnish sauna sessions (around 2-8 degrees)

  • - the frequent wind on the mountain tops which adds to the feeling of cold

  • - a longer time than in a normal house to heat a refuge or a hut

  • - the possible need to dry clothes after an activity, or to change clothes for those who are subject to heavy sweating

  • - the need to call on suitable emergency means (snowmobile, sled, helicopter); the awareness that response times may be lengthened depending on the location of the accident due to the specific conditions on the ground

  • 2- The other seasons:

  • - cool or even cold temperatures in spring and autumn, with the possibility of snowfall

  • - extremely wet snow in spring

  • - the strong light from April to August and the absence of darkness at night which can disturb some people's sleep

  • - fragile ice on bodies of water in spring

  • - the harmless discomfort that can be caused by the presence of numerous mosquitoes from mid-June to the end of August

  • - the need to call on suitable emergency means (quad, helicopter); the awareness that response times may be lengthened depending on the location of the accident due to the specific conditions on the ground

  • SAFETY

  • The guide is trained in wilderness first aid. In case of accident and while waiting for the emergency services if their assistance is necessary, the participant is expected not to obstruct the guide’s actions and decisions by repeated injunctions and actions that willfully go against unless he is more competent by his profession (nurse, doctor, rescuer) and that he/she clearly certifies it by an annotation across the booking form 

  • He/she understands that Lappitrek does not include during the time of activity the consumption of any alcohol in any form. If one or more participants would bring some, it would be a personal decision. Lappitrek accepts no responsibility for the potential consequences on the physical and moral integrity of the alcohol user: disruption in the smooth running of the program (delays, cancellations), material damage, need to call for rescue services.

  • The participant promises not to be in possession of and not to use any drugs. In addition, Lappitrek advises against tobacco consumption and encourages people to think about well-being and good performance during the most sporting activities.

  • THE GEAR

  • The participant did read the clothing list. He/she understands that list is only indicative and suggests what he/she should bring. He/she is solely responsible for the equipment he/she's bringing and purchasing for the trip.

  • The company provides in much equipment. The participant commits to be careful with what it is given to him/her during the program. He/she commits him/herself to return each item to the company at the end of the trip

  • BEHAVIORS

  • The participant commits to respect the following rules about the coexistence with the other participants and the guide :

  • - The time table for the activities

  • - The use of the eco-friendly toilets near the wilderness cabins and Lapp huts; if there’re not any of those then I put the waste toilet paper, pads and tampons in a small plastic bag which can be put in the trash at a different location

  • - To not pour waste waters near creeks or lakes even though those are frozen

  • - To give priority to fauna and flora watching instead of trying to own it

  • - The prohibition of any game using matches, candles and incandescent wood pieces inside the cabins and huts

  • - To be careful with the doors, beds, stoves and other furniture inside the cabins, huts and toilets

  • - The sleep of my neighbor

  • - The possible lower pace of another participant or the guide himself who is carrying an extra load

  • - The complete absence of any discriminating acts (in deeds and words) towards the other participants, visitors and the guide himself, and to give priority to a caring and goodwill behavior

  • CHANGES IN THE PROGRAM

  • The participant understands and accepts that the schedule and program’s content can be subject to some modifications in case of a :

  • - threatening weather (dark clouds, strong winds, extreme cold temperatures, snow storms…)

  • - health issue of another participant or the guide himself

  • - decision made by the public authorities

  • - deterioration of gear

  • PREPARATION OF THE TRIP

  • The participant certifies that he/she has with him/her an ID from the beginning to the end of the trip.

  • He/she certifies that he/she prepares his/her trip in a way that guarantees the smooth running of the activity or stay. Lappitrek does not ensure the organization and experience of the journey between the participant's home and the place of the beginning of the program, as well as for the return. The participant is solely responsible for the choice of the transport company (s), times and prices. Any advice given by the agency before the start of the stay is only indicative and in no way holds its responsibility.

  • CANCELLATION POLICY

  • A 20% deposit or the full price must be paid within 7 days of booking. The full price must be paid 31 days before the effective start of the activity or trip. For any last minute booking (within the 31 days before the effective start of the activity or trip) full payment is expected to be immediately made.

  • Here our policy about the cancellation conditions and fees:

  • - 20% cancellation fees (deposit) up to 31 days prior the effective start of the activity or trip.

  • - 30% cancellation fees up to 21 days prior the effective start of the activity or trip.

  • - 40% cancellation fees up to 8 days prior the effective start of the activity or trip

  • - 50% cancellation fees up to 48 hours prior the effective start of the activity or trip

  • - 100% cancellation fees up to 24 hours prior the effective start of the activity or trip. No shows will be charged full price.

  • - 20 % cancellation fees In case of illness, accident or death of one or more participants (certificates to be produced within 7 days)

  • Participants will receive full refund or credit in case of operator cancellation due to weather or other unforeseen circumstances.

  • PICTURES AND VIDEOS

  • The participant has all rights to accept or refuse a moderate publishing of pictures and videos in which he/she could be for the promotion of the company’s activities.
